Subscribe to your ShiftDispatch schedule to keep published shifts assigned to
you in Google Calendar, Outlook, or Apple Calendar.
Before you start
- Open the ShiftDispatch staff app and sign in.
- Decide which personal calendar app you want to use.
- Treat your calendar link like a password. Anyone with the link can view your
published assigned shifts.
Connect your calendar
- Open Shifts, then open the account menu.
- Select Sync to calendar.
- Under Choose a calendar app, select Google Calendar, Outlook, or
Apple Calendar. ShiftDispatch creates your private calendar link when
needed. - Follow the instructions shown for your calendar app:
- For Google Calendar, select Copy calendar link, open Google
Calendar on the web, then choose Other calendars → From URL. Paste
the link and select Add calendar. - For Outlook, select Copy calendar link, open Outlook on the web,
then choose Add calendar → Subscribe from web. Paste the link, name
the calendar, and select Import. - For Apple Calendar, select Subscribe with Apple Calendar and
confirm the subscription when your device asks. If the subscription does
not open, select Copy calendar link, then in Calendar choose Add
Calendar → Add Subscription Calendar and paste the link.
- For Google Calendar, select Copy calendar link, open Google
Check that it worked
Your calendar app shows a separate subscribed calendar containing your
published assigned shifts. Calendar apps refresh subscriptions on their own
schedule, so a change may not appear immediately. Check ShiftDispatch for the
latest shift details, especially after a last-minute change.
Manage or disconnect calendar sync
- Open the account menu from Shifts and select Sync to calendar.
- Select Manage calendar sync.
- Choose an action:
- Copy calendar link copies the current private link.
- Create a new link stops the current link and creates a replacement.
Calendars using the old link will no longer receive updates. - Disconnect calendar sync stops the private link. Events already copied
by a calendar app may remain until that app refreshes.
Troubleshooting
- The subscription does not open in Apple Calendar: Use Copy calendar
link and add it as a subscription calendar manually. - The link cannot be copied: Allow clipboard access for ShiftDispatch in
your browser, then try again. - A shift is missing: Only published shifts assigned to you are included.
Check the shift in ShiftDispatch and wait for your calendar app to refresh. - The calendar shows old information: Open ShiftDispatch for the current
schedule. Subscription refresh timing is controlled by your calendar app. - Someone else received your link: Select Manage calendar sync →
Create a new link, then replace the old subscription in your calendar
app.
