Add or remove documents from a shift

Upload a PDF or attach a Document Center file to one shift or a recurring schedule.

Workspace owners and admins can attach PDFs to one shift or to a recurring
schedule. Assigned staff can download the files from that shift's details.

Before you start

  • Open the workspace schedule as an owner or admin.
  • If you are uploading a new file, prepare a PDF that is 20 MB or smaller. You
    can queue up to 10 PDFs at a time.
  • For a recurring shift, decide whether the change should affect This shift
    only
    or This and future shifts.

Choose where the document comes from

The Documents section of the shift form offers two ways to add a file:

  • Add from Document Center attaches an existing workspace PDF. The PDF
    stays in Document Center and is also available from the shift.
  • Drag PDFs here or choose files uploads a shift-specific PDF. A PDF
    uploaded this way is available from the affected shift, but it does not
    appear in Document Center.

Add a document

  1. Open Schedule, then create a shift or edit an existing shift.
  2. For an existing recurring shift, set Apply changes to to This shift
    only
    or This and future shifts before choosing documents.
  3. In Documents, do one of the following:
    • Select Search workspace documents under Add from Document Center,
      search by title or category, and select each PDF you want to attach.
    • Drag PDFs into the upload area or select choose files.
  4. Review the document rows. The text below each file explains whether it comes
    from Document Center and whether it will be added when you save.
  5. Select Create shift, Create [number] shifts, or Save Shift.

When you create a recurring schedule, added documents apply to the created
series. When you edit a recurring shift, This shift only makes the document
available only on that occurrence. This and future shifts makes it available
from the selected shift forward.

Remove a document from a shift

  1. Open the shift and select Edit.
  2. For a recurring shift, set Apply changes to to the intended scope.
  3. In Documents, select Remove [document title] beside the file. The row
    changes to Will be removed when you save.
  4. Select Save Shift. Before saving, you can select Undo removal of
    [document title]
    to keep the file attached.

Removing a Document Center attachment from a shift does not remove the PDF from
Document Center. With This shift only, an inherited recurring document is
hidden only from that occurrence. With This and future shifts, it is removed
from the selected shift forward.

Check that it worked

Reopen the shift and check its Documents section. Assigned staff see the
same section when they open the shift from Shifts and can select Download
[document title]
.

Troubleshooting

  • No Document Center files are listed: No workspace PDFs have been
    published yet. Follow Manage PDFs in the Document Center
    or upload a shift-specific PDF instead.
  • A file is rejected: Confirm that it is a PDF and no larger than 20 MB.
  • You cannot add another file: Remove a queued file or save the current
    batch before adding more than 10 PDFs.
  • Documents are still loading: Wait for loading to finish before saving the
    shift. If loading fails, select Retry.
  • The shift saved but a document failed: Leave the shift form open and
    select Retry documents. Existing documents remain attached when a new
    upload fails.
  • Staff cannot see the file: Confirm that the shift is assigned to them and
    that the document appears when you reopen the same shift.
